Send a document

Send a document — demo (1 min)Real demo — Salesforce org + Yousign sandbox · Watch on YouTube

Two ways to send a document for signature from a Salesforce record: with a template (ready-made configuration) or in free-form mode (you configure everything manually).

Before you start
  • The TrueSign — Signature Request component must be on the record page (otherwise, ask your administrator).
  • In free-form mode: a PDF attached to the record (Files → Upload Files).

Send with a template

  1. In the TrueSign component, open the Template selector: only active templates tied to the current object are offered.
  2. The documents, signers, merge fields and options defined by the administrator are prefilled. Depending on the template, some elements remain editable (signers, expiration date, message).
  3. Review and click Send for signature.

If the template is in Quick Send mode, the send goes out directly, with no preview screen.

Free-form sending (no template)

  1. Document — select the PDF among the files attached to the record. A message warns you if no PDF is present.
  2. Signers — add each signer: first name, last name, email, phone (international +33… format, required for SMS authentication). You can also:
    • resolve signers automatically from Salesforce (opportunity contact roles, Contact/User lookup field);
    • add a signing group;
    • give a recipient the "Needs to Approve" type — they validate the document before signers are notified (approval workflow);
    • add a CC recipient (they receive the signed document without signing).
  3. Optionssimultaneous routing (everyone at once) or sequential (each after the previous one), expiration (1 to 365 days, 30 by default), invitation message.
  4. Send for signature. A toast confirms the send; on failure, the error banner shows the exact detail.

Per-signer customization

For each signer you can individually set:

SettingEffect
LanguageLanguage of the email and signing page (fr, en, de, es, it, nl, pt)
Email subject / messagePersonalized invitation (e.g. "Your contract" for the customer, "For counter-signature" internally)
Private noteMessage visible only to that signer on their signing page
AuthenticationEmail OTP, SMS OTP, access code — see Signature levels

What the signer experiences

  1. They receive a Yousign email with a secure link — no account to create.
  2. They review the document (merge fields already filled in), complete any form fields, then verify their identity (SMS code at AES level).
  3. They sign — including on mobile — and receive their signed copy by email.
